1. Booking & Payment Terms

 

1.1. Full payment of the Event Fee is required at the time of booking in order to secure a place in the program.

1.2. The Participant acknowledges that Planet Vet incurs significant upfront costs, including but not limited to accommodation deposits, venue hire, supplier payments, logistics, and administrative expenses.

​

1.3. For this reason, 50% of the Tour Fee (“Non-Refundable Portion”) is strictly non-refundable under any circumstances, except where required by law.

2. Participant Cancellations

​

2.1. If the Participant cancels their booking for any reason, the following refund rules apply:More than 90 days prior to the Tour start date: The Non-Refundable Portion is retained. The remaining 50% of the Tour fee is refundable. 60 to 90 days prior: 75% of the Tour fee is retained. 25% of the Tour fee will be refunded or forfeited to the participant. Less than 60 days prior: No refund or credit is payable.

2.2. Cancellation must be submitted in writing to Planet Vet at cancellations@planetvet.com.au.

2.3. No refunds will be given for late arrivals, unused services, or no-shows.

​

 

3. Transfer / Substitution of Participants

​

3.1. A Participant may request to transfer their place to another eligible attendee up to 30 days prior to the Tour start date.

​

3.2. Transfers are subject to:approval by Planet Vet,completion of all registration requirements by the substitute participant, anda $200 administrative fee.

​

3.3. Transfers are not permitted within 30 days of the Tour start date.

​

4. Cancellation or Modification by Planet Vet

​

4.1. Planet Vet reserves the right to cancel, postpone, reschedule, or modify any part of the Tour due to: minimum participant numbers not being met, illness of key personnel or presenters, severe weather, natural disasters, or unsafe conditions, failure of third-party suppliers, government restrictions, border closures, or travel advisories, or any other circumstance reasonably beyond the control of Planet Vet (“Force Majeure Event”).

4.2. If Planet Vet must cancel the Tour prior to commencement for reasons not caused by a Force Majeure Event: Planet Vet will refund Participants the amount remaining after deduction of any non-recoverable costs already paid to suppliers.Non-recoverable costs may include, but are not limited to: accommodation deposits, venue hire fees, supplier cancellation penalties, transportation prepayments, catering deposits, speaker fees, permits, and administrative expenses. The Participant acknowledges and agrees that a full refund may not be possible if Planet Vet has already incurred such costs.

4.3. If cancellation is due to a Force Majeure Event:No refund of the Non-Refundable Portion is required.Planet Vet will use reasonable efforts to provide the Participant with:(a) a credit towards a future Planet Vet Tour, or(b) a partial refund, less any unrecoverable costs that Planet Vet has incurred.Planet Vet shall not be liable for any additional costs incurred by the Participant, including flights, insurance, visas, accommodation outside the Tour, or incidental expenses.

5. Participant Travel Insurance Requirement

 

5.1. All Participants are strongly advised to obtain comprehensive travel insurance, including:trip cancellation and curtailment,medical and evacuation coverage,loss of personal belongings,coverage for delays and disruptions.

5.2. Planet Vet is not responsible for any loss, damage, or costs incurred by Participants who fail to obtain adequate insurance.

​

 

6. Limitation of Liability

​

6.1. To the maximum extent permitted by law, Planet Vet’s liability will not exceed the Tour Fee actually paid by the Participant, minus any non-recoverable supplier costs incurred.

​

6.2. Planet Vet is not liable for consequential loss, indirect loss, or personal expenses incurred due to cancellations, changes, delays, or Force Majeure Events.

7. Acceptance of Terms

​

7.1. By submitting payment and confirming a booking, the Participant acknowledges and agrees to be bound by this Cancellation & Refund Policy as part of the Planet Vet Terms & Conditions.

General Conditions

 

All participants are responsible for ensuring their own health and safety, meet travel and visa requirements.The organizer reserves the right to make minor adjustments to the itinerary to enhance the overall experience.
